Accounting guidelines

This is a controlled document

In line with Open Energy Transition regulatory obligations, changes to Controlled documents must be approved and merged by a code maintainer. All contributions are welcome and encouraged.

OET's Accounting team created the following guidelines to provide our Team and Consultants (contractors/vendors) with timely customer service and payments

Contact e-Mail: invoices@openenergytransition.org

OET's Team (direct hires, EoRs and long-term contractors)

For direct hires, EoRs or Remote Contractors, we will only process invoices that were submitted through Remote. The invoice will then have an approval. Once approved, we will reimburse the invoice in the following payment period. Direct hires in Germany might experience small delays, but we target a reimbursement within 1-2 months. If no invoice was submitted there, there will be no reimbursement. For extraordinary circumstances, we might allow exceptions, for which the same rules as for vendors will apply (see below). Everyone who sets up a new subscription must submit OET's billing contact (see contact e-Mail above), which will receive all invoices resulting from the subscription. The responsible person is the owner of the software product.

Externals (e.g. vendors)

All other invoices must be sent to the billing contact (see contact e-Mail above). These invoices must contain

  • vendor name
  • vendor address
  • vendor email
  • invoice number
  • invoice date
  • invoice due date
  • service description
  • daily/hourly rate and/or unit prices, where applicable
  • total due
  • currency must be clearly stated
  • vendor bank details
  • VAT ID

If these guidelines are not fulfilled or if any of the information is missing, OET will hold the right not to process the invoice. A new invoice must be issued, and the due date must be updated accordingly.
